Libraries, sync and backups
Use your library on more than one PC, share it with a team, and keep backups.
This section is for when your work needs to leave a single PC: you want your library on a second PC, a shared set of prompts for a team, or a copy saved in case something goes wrong. If you use one PC and don’t need backups, you can skip it.
The ideas to know first:
- Personal library: yours alone. It can sync to your other PCs.
- Team library: shared with other people, for small teams of up to about 25. One person, the primary owner, approves every PC that joins.
- Sync: libraries sync through a folder in cloud storage you already use, such as OneDrive, Google Drive, Dropbox or a network drive. There is no PromptMason account and no PromptMason server that holds your library.
- Backups: copies of your libraries saved on a schedule to a folder you choose.
- Recovery kit: a spare copy of your keys, needed only if you lose every PC.
Synced files and backups are encrypted, so your cloud storage company can’t read what’s inside them. For more on what stays private, see Privacy in PromptMason.
Start with Personal and team libraries. To add a PC, read Use your library on a second PC. To protect your work, read Backups.
Guides in this section
- Personal and team libraries: Switch between your libraries, move items from one library to another, and read who made each change and how each library is syncing.
- Backups: Turn on automatic backups, choose where they go, and restore a library from a backup.
- Use your library on a second PC: Sync your personal library to your other PCs, or add another of your PCs to a team library.
- Team libraries: Create a team library, choose its shared folder, invite people, and understand the roles.
- Approve a PC: Approve someone joining a team library, or a member's new PC, by comparing the approval code.
- Remove a person or a PC: Remove someone from a team library, or one of their PCs, then remove them from the folder's sharing.
- The primary owner: What only the primary owner can do, their approving PC, and handing the role to another owner before time away.
- Sync problems: What each sync message in PromptMason means, and what to do about it.
- Notifications: Read and act on PromptMason's notifications about backups, your recovery kit, and the libraries you sync or share.

I want to use PromptMason on a second PC, or share prompts with my team. Explain personal and team libraries, sync and backups in plain words, and tell me which guide to read first. About PromptMason: a Windows desktop app for building AI prompts from reusable blocks. A person writes blocks (reusable pieces of prompt text), builds prompts from them on the Build screen (or keeps a Markdown document, such as a Skill), and copies a prompt into an AI tool, runs it in PromptMason’s own Chat, or lets a connected AI agent use it through PromptMason’s built-in MCP server (the Chrome extension copies prompts on any website). AI assist, Evaluate and Chat use a local model that runs on the person’s PC, or their own AI provider. The guides are also on PromptMason’s Help screen, and Chat can answer “how do I” questions from them. Libraries hold the blocks and prompts; a person can sync their personal library to their other PCs and share team libraries, both through a folder in cloud storage they already have (OneDrive, Google Drive or Dropbox). Everything synced is encrypted and every edit is signed and checked. A recovery kit (a file plus a code) is the spare copy of the person’s keys, for when every PC is lost. The official guide for this is "Libraries, sync and backups": https://promptmason.ai/docs/libraries-sync-backups Its full text follows, between the lines. Use it as the source of truth, and if anything I see differs from it, tell me rather than guessing. --- This section is for when your work needs to leave a single PC: you want your library on a second PC, a shared set of prompts for a team, or a copy saved in case something goes wrong. After each step, ask what I see on screen before giving the next one. - Use the exact words on PromptMason’s buttons and screens, as the guide does. - Never ask me for my recovery code, my recovery kit file, a password or my invite line, and never ask me to paste them here. - Start by asking which step I’m on, or what I see now.
